Roles and Responsibilities
Overview
Roles and Responsibilities lets you take ownership of certain operational decisions within the Unit ecosystem, such as application reviews and payment decisioning, that would otherwise be handled by your bank or by Unit on behalf of your bank.
With this feature, you decide who within your organization handles key operational decisions and how: your team, an automated workflow, or a third-party vendor.
In other words: Unit provides the platform, data, and tools. You make the decision.
Why it matters
When you build embedded finance with Unit through our Custom implementation path, you are the program manager. Unit is designed to handle the operational complexity of running a fintech program by default, so you can go live without standing up a full compliance and operations stack. But some companies have good reasons to own specific functions, and this feature exists to make that possible, on your timeline.
Common reasons to take on more control:
- You have an existing KYC team and want to keep them in the loop on manual reviews
- Your risk model depends on proprietary data that should influence payment decisioning
- You want faster onboarding approval times by applying internal customer context
- Your program has matured to a point where dispute handling makes sense in-house
- Your business serves a specialized industry where supporting non-standard payment workflows is critical to customer adoption, and your team is better positioned to evaluate those transactions using customer and industry context.
How it works
Some workflows, such as reviewing an application, processing a payment, or approving a check deposit, include steps that require a judgment call: approve or deny.

By default, those decisions are handled by Unit on behalf of your Bank Partner. With Roles and Responsibilities, that authority can be delegated to you, allowing you to:
- Review and make decisions directly in the Unit dashboard or via the API, with full audit visibility
- Define who within your organization handles each process
- Apply custom decision logic and procedures tailored to your use case
- Use your familiarity with your customer base, combined with internal or third-party data, to make better decisions
Unit continues to provide the infrastructure: workflows, data, and system controls, while you take control of the decision layer.
Example: Imagine a property management SaaS platform added banking for its landlord customers. As their deposit volumes grew, they wanted to apply their own business logic to check deposit reviews — flagging large or unusual deposits for a human on their team before funds were released, rather than relying on Unit's default handling.
Using Roles and Responsibilities, they took ownership of check deposit reviews. When a deposit comes in, Unit surfaces it in the dashboard with full transaction detail and account history. Their team reviews it, makes an approve or deny decision, and Unit processes accordingly — with a complete audit trail maintained throughout. Unit still handles everything else: the ledger, reconciliation, statement generation, and bank reporting.
Getting started
If you are interested in taking ownership of specific decision flows:
- Contact Unit and let us know which workflows you would like to own. We will work with you and your bank to get the necessary approvals.
- Have your review procedure approved by your bank. Unit will provide documentation templates, procedure suggestions, and support throughout.
- Set up your integration or staff training.
